Guidelines for Monitoring College Research Activeness


While the central level concentrates on approvals, policy and procedures, monitoring and institutional level resources mobilization for Research and Postgraduate Education, it is important that College levels should take charge of research activeness and improving the research environment within their departments, schools and centres at a level of expected dynamism. These procedures shall guide the monitoring of research activeness at College level. Colleges will take charge of:
(i) Research &publication, supporting staff to secure grants and building research capacity
(ii) Ethics Clearance of staff and student research proposals
(iii) Attracting PhD students, finding supervisors, securing scholarships and offering teaching assistantships to support some of the Masters and PhD students

2.1. Visibility activities: Upload on College Website
a) Each staff’s publications for the past 10 years and 2-3 page CV using the approved formats for publications and CVs.
b) Links where Masters and PhD theses awarded by the College can be accessed (here put all from the former institutions that make up the college)

2.2. Dissemination: 
a) Produce six monthly reports on research activities and Postgraduate Education and post them on UR website. The report format will be provided by the office of the University Research and Postgraduate Studies (RPGS) Unit. Hold meetings with media at least twice a year and upload contents of the meetings on website,
b) Each department organise staff and student seminars at least three times a year and upload content on website, a
c) Where possible, organise conferences, road shows and exhibitions.

2.3. Data sharing: 
a) Create a database of research, publications, and Postgraduate Education and maintain it by updating it on 1st February and 1st September every year. The format for the database entries will be provided by the Senior Research Officer of the University RPGS Unit
b) Post on the College Website gender and department disaggregated data on research, publications, and Postgraduate Education on 1st February and updated version on 1st September.

2.4. Capacity Building - organize trainings in: 
a) research methods, proposal writing and negotiation skills, Academic writing,
b) use of research facilities and techniques, e.g. software, scientific laboratory and other techniques
c) Managing PhD and MPhil programmes, and supervising masters and PhD theses,
d) editorial and publishing matters,
e) Gender mainstreaming in research and gender equity matters.

2.5. Resources mobilization, to secure 
a) research grants for department/ School/College
b) Assist individual staff to secure research grants,
c) Funds to support conferences and networking activities,
d) scholarships for Postgraduate students especially PhD students,
e) Each department should set annual targets (mounts of funds to be secured for research activities & Number of scholarships to be secured.

3.1. Reporting: 
a) College Directors of Research and Postgraduate Studies shall submit quarterly reports to the College Academic Council using a Form issued by the office of the University RPGS Unit.
b) The University RPGS Unit shall compile College quarterly reports and submit one quarterly report to DVC AAR for presenting to SENATE, and to table regularly to the UR Executive and share with UR community and beyond.

3.2. Assessment: College activeness will be assessed based on the:
a) quarterly reports,
b) scrutiny of their websites, and
c) their performance based on their planned targets.
d) A system of recognition of best performers (Colleges and units within colleges) will be put in place and best practices will be publicized. Underperforming units and those failing to report will be taken to task; they will also be supported to improve
